3. Why we use it
- To sign you in and keep your workspace secure (with your consent, given at sign-in).
- To answer your enquiries, prepare quotes and deliver the services you ask for.
- To provide support, keep ticket records and report on service levels under your contract.
- To take payments, issue GST invoices and keep the accounting records the law requires.
- To protect our systems and investigate misuse.
- To meet legal obligations, such as tax law or an order from a court or authority.
We rely on your consent, or on a legitimate use the law allows (for example, where you give us data to receive a service, or where the law requires us to keep it). You can withdraw consent at any time (section 7); this doesn't affect what was done before, and some services may stop working without it.
4. Who we share it with
- SocialWorks, the identity service that signs you in.
- Our payment partner (Razorpay), to process payments and refunds.
- Providers of hosting, email and SMS that run our systems, under contract and only for that purpose.
- Equipment manufacturers, when we open a warranty case for you (only what the case needs).
- Government authorities, courts or regulators, when the law requires it.
Your data is stored in [data location]. If a provider processes it outside India, we do so only where the law permits.
5. How long we keep it
- Account data: while your account or contract is active, then deleted or anonymised unless the law needs it kept.
- Enquiries that don't lead to work: up to one year.
- Support tickets: for the contract term plus three years, for service history and disputes.
- Orders and invoices: at least eight years, as GST and accounting law requires.
- Security logs: up to 180 days, or longer when needed for an investigation or the law requires it.
6. How we protect it
Encrypted connections (HTTPS), sign-in through SocialWorks with one-time codes, secure cookies that scripts can't read, access limited to staff who need it, and regular updates and backups. If a breach affects your data, we will tell you and the authorities as the law requires.
7. Your rights
- Get a summary of your personal data we hold and how we use it.
- Have inaccurate data corrected or completed, and data we no longer need erased.
- Withdraw consent you gave.
- Nominate a person to exercise your rights if you die or can't act.
- Raise a grievance with us, and then with the Data Protection Board of India.
Write to [email protected]. We acknowledge within 48 hours and respond within 30 days. Your profile and contact details themselves are managed in your SocialWorks account.
